The University of New Hampshire’s Center for Coastal and Ocean Mapping/Joint Hydrographic Center (CCOM/JHC) is seeking a Program Support Assistant for its office located on the main campus in Durham, NH (working remotely to start). This position is part of the CCOM Administrative Team responsible for supporting the Center’s administrative functions and office operations.

CCOM/JHC is a team-oriented, mission-driven organization with two main objectives—to develop tools to advance ocean mapping and hydrography, and to train the next generation of hydrographers and ocean mappers.

Our researchers invent technologies, build instruments, travel around the world, and go on sea expeditions for weeks on end. They also guide students through their graduate programs and prepare them to work in the fields of hydrography and ocean sciences. The CCOM/JHC Administrative Team works alongside an in-house IT department, a facilities manager, and other support staff, and acts as an interface between CCOM/JHC staff and faculty and the University to make sure all the Center’s endeavors go smoothly.

As part of the CCOM/JHC Administrative Team, the Program Support Assistant position requires the use of significant independent judgment in applying policies and procedures, a high degree of attention to detail, the ability to take initiative, and the ability to collaborate effectively with others.

Major Responsibilities

The CCOM Program Support Assistant will report to the Sr. Program Support Assistant and work closely with the CCOM Administrative Team. Primary responsibilities include:

  • Initiate purchases of research materials and supplies for Principal Investigators, faculty, staff and graduate students. Prepare related supporting documentation and obtain required approvals.

  • Assist with travel arrangements and reimbursements for faculty, staff, students, invited guests and foreign nationals.

  • Assist with meeting arrangements and event planning.

  • Receive visitors and respond to incoming calls and emails. 

  • Coordinate the shipment of materials and equipment domestically and internationally.

  • Prepare vessel usage invoices and monitor outstanding receivables.

  • Assist with the management of databases and spreadsheets containing contact information, sponsored project details, and external partner agreements. 

  • Organize prospective graduate student applications for review and prepare graduate assistantship offer letters.

  • Perform other related duties as assigned.

Minimum Qualifications

  • High school graduation and five years of related experience involving duties of increasing responsibility requiring discretion and independent judgment, or an Associate’s Degree and three years of related experience, or a combination of higher education and related experience equal to five years.

  • Advanced computer skills, including complex word processing, e-mail, Excel spreadsheets, database management, use of search engines, keyboarding skills, Microsoft 365 (including TEAMS communication), Zoom video conferencing, Adobe Acrobat and other software applications.

Desired Qualifications

  • Experience working in a college or university work environment.

  • Knowledge of applicable USNH and UNH policies and procedures as they relate to the job functions. 

  • General knowledge and understanding of rules and procedures for federal and non-federal grant expenditures.

Position Type

  • 100% (full-time, 40-hour/week), hourly, benefited, grant-funded. 

  • Although grant-funded positions are contingent upon continued grant funding, CCOM/JHC has been continuously funded since 1999, with the most current 5-year grant being awarded in 2021.

  • Salary is complemented by a comprehensive benefits package which includes medical, dental, retirement, tuition, and paid time off.

Work Location and Hours

This position is based in the Jere A. Chase Ocean Engineering Laboratory on the main UNH campus in Durham, NH. Business hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
